CHYTC Executive Director
Position Summary
Clear Hills Youth Treatment Centre (CHYTC) is located 17 kilometers from the Village of Hythe, Alberta. CHYTC is currently seeking a self-motivated and experienced individual to fill the position of Executive Assistant / Finance Administrator.
Specific Accountabilities
Reporting to the Executive Director, the Executive Assistant / Finance Administrator provides administrative, operational, and financial support to the Executive Director, staff, and the CHYTC Board of Directors. This role supports the organization’s strategic goals by assisting with administrative management, financial oversight, human resource support, and compliance with regulatory and corporate requirements.
Administrative & Operational Support
- Assist in managing the day-to-day administrative operations of CHYTC.
- Provide direct administrative support to the Executive Director and the Board of Directors.
- Prepare reports, meeting materials, and supporting documents for Board and organizational meetings.
- Maintain accurate filing systems for administrative, financial, and corporate records.
- Coordinate corporate filings and ensure annual corporate requirements for the Board of Directors are completed.
- Maintains efficient HR files and assists in HR management.
- Ensuring compliance with applicable laws, regulations, and licensing requirements to maintain a safe and compliant center.
- Assist in maintaining organizational policies, procedures, and operational standards.
Financial Administration
- Assist the Executive Director with financial management, including monitoring budgets and financial performance.
- Process Accounts Payable, Accounts Receivable, and Payroll, ensuring proper approvals prior to disbursement.
- Reconcile bank and balance sheet accounts on a regular basis.
- Assist in preparing financial statements, reports, and variance analysis for Board review.
- Maintain financial records and assist with audit preparation and reporting to funders.
- Administer employee group insurance and pension plans.
Qualifications
- Bachelor’s Degree, Administrative Degree, Accounting Diploma, or equivalent experience preferred.
- High School Diploma with a minimum of three (3) years of administrative and/or financial experience may be considered.
- Experience in accounting functions such as payroll, accounts payable/receivable, budgeting, and financial reporting is an asset.
- Experience with SAGE accounting software and strong proficiency in Microsoft Excel and Office applications
- Knowledge of administrative management practices and Board corporate filing requirements.
- Knowledge of Canada Labour Code, accounting principles, and regulatory compliance requirements is an asset.
- Strong organizational, administrative, and communication skills.
- Ability to manage multiple tasks, work independently, and maintain confidentiality.
- Knowledge and/or understanding of First Nations culture and traditions is considered an asset.
- Valid driver’s license required.
- Salary based on qualifications
Working Conditions
- Travel as required and/or requested.
- Demonstrates self-control, stays composed under pressure, manages emotions effectively, and responds calmly in challenging situations.
- Additional hours may be required based on Warriors needs.
- Interacts extensively with employees, various management levels, and the public
- Ability to lift to 25 pounds.
